A management trust is looking for a full time Business Support Officer to join their small team. The Trust was set up fifty years ago to maintain and preserve the character and amenities of a London Suburb. This role reports to the chief executive and liaises with the external accountants who provide all the day to day bookkeeping for the trust.
This is a very varied and interesting role , working with a small team in a great environment where no two days are ever the same. The right candidate for this role will be very customer focussed and able to think on their feet.
Financial support
Act as first point-of-contact for the external accountants for incoming and outgoing information, and liaise with other staff as required
Supply accountants with details of all payments made directly by the Trust and copies of invoices relating to Direct Debits;
Check bank statements 2x weekly. Code transactions where not already identified,forward to accountants and file.
Maintain the CSV's for ground rent, estate and management charges and pass to accountants for uploading onto Sage;
Process, acknowledge and pay-in incoming cheques and cash
Coordinate the printing, assembly and sending out of financial statements, demands and reminders, including on-demand statements in response to residents’ enquiries.
Work with the Credit Controller to follow up and resolve payment arrears
Legal and governance support
Prepare paperwork, set up and take Minutes for Trust Council, Finance, Grants Committee and Annual General Meetings (x17pa). Note that these will require evening attendance with compensatory TOIL
As Membership Secretary, maintain the Membership database and liaise with the auditors when elections are held to manage the ballot process
Maintain property transfer and deeds of variation records on relevant databases, including advising accountants for all changes needed on Sage
Research and respond to conveyancing enquiries.
Other business support
Manage the Trust’s general enquiries mailbox and respond or refer as required
Open and action or distribute incoming post as required
With colleagues, respond to initial enquiries by phone or personal callers
With colleagues, assist in the day-to-day running of the Trust office and undertake any
Experience of:
Working in a business support role with a financial focus
Using Sage 200 for financial recording and reporting
Using and maintaining digital databases
Handling cash and cheques

Essential: Educated to A-level or equivalent standard.
Desirable: book-keeping or basic accountancy qualification
